Book Truckload Freight: A Shipper's Booking Workflow

A truckload booking works best when the shipper, carrier and receiving facility agree on the same shipment details before dispatch. Use this workflow to move from an initial inquiry to a documented pickup plan. A rate estimate alone does not confirm equipment, an appointment or an accepted shipment.

Build a complete freight request

Record pickup and delivery addresses, dock contacts, ready dates and appointment windows. Add commodity, pallet count, dimensions, total weight and loading requirements. State the equipment needed and any temperature or special-handling instructions. Ask the carrier to confirm whether the load and lane fit its current service capabilities.

Compare quotes on the same basis

Give each provider the same shipment brief. Check whether fuel, extra stops, detention and other conditional charges are included. Confirm the quote's validity period and any cancellation terms. A lower linehaul price may not produce the lowest final invoice when accessorial conditions differ.

Confirm capacity and appointments

Ask for written acceptance before treating the shipment as booked. Identify who schedules each appointment and how changes are approved. Share a reachable contact for dispatch and for both facilities. Keep updated instructions in one record rather than distributing conflicting versions across emails.

Prepare the pickup handoff

Have freight packaged, labeled and accessible at the agreed time. Match the bill of lading to the booked shipment and document changes before loading. After delivery, collect the required delivery record and compare the invoice with the agreed quote. Use discrepancies to improve the next booking.

What if the shipment changes?

Notify the carrier promptly about changes to weight, equipment, timing or stops. Request an updated confirmation and price before the revised movement begins.
